Procedures for selected students

The procedures outlined below apply exclusively to students who have been officially selected for a destination under the Exchange Call for Applications and have formally accepted their place.

 

Mandatory Meetings

Before your departure, you will be required to attend four mandatory meetings, during which you will receive important information about your mobility period. Please check your institutional email account regularly, as you will receive the meeting invitations there.

Students selected for European destinations (Erasmus+)

 

Nomination and application procedures

 

1. Nomination to the host university

Cattolica International will forward your nomination to the host university.

You will receive an email notification once the nomination has been completed.

 

2. Check the application procedure

After the nomination, visit the website of your host university and check:

  • the application procedure for Erasmus students;
  • the relevant deadlines;
  • the required documentation.

It is your responsibility to prepare and submit all documentation in accordance with the procedures and deadlines set by the host university. The host institution may reject your application if your documentation is incomplete or submitted after the deadline.

If signatures, stamps or documents are required from our side, please contact the International Office at your campus promptly.

 

3. Confirm completion of your application

Once you have completed the application procedure, log in to the International Mobility Portal Dashboard and indicate this in the section “Application at the host university”.

 

 

Documents that may be required by the host university:
 
  • Identity card or passport
    Ensure that your identity card or passport is valid for the entire duration of your mobility period.

    Some partner countries (e.g. Turkey) may require a visa for entry. To obtain it, contact the diplomatic representation in Italy of your destination country well in advance.

  • Transcript of Records (Home University)
    An official certificate of enrolment in English, including exams taken, grades and dates. This document is required for scholarship purposes and is exempt from stamp duty.

    You can request it via: iCatt > Online Services > Certificate requests.

    Some host universities also accept a self-declaration in English (without signature), downloadable from: iCatt > Online Services > Self-declarations

  • Diploma Supplement (Master’s degree students only)
    A document supplementing your official degree certificate, summarising your previous Bachelor’s degree academic record.

    It can be downloaded from: iCatt > Online Services > Self-declarations.

    Alternatively, it can be requested to your previous university.

  • Nomination letter:
    Downloadable from: International Mobility Portal > Application section.
     
  • Proof of Language Proficiency:
    A document certifying your language competence, downloadable from: International Mobility Portal > Application section.

    If you hold a valid international language certificate (e.g. IELTS, TOEFL), you may submit it, provided it meets the host university’s requirements.

  • Health insurance:
    A copy of your insurance policy. Students participating in a programme promoted by Cattolica International are required to purchase and subscribe to the “Student Safety Package”. 
     
  • Medical examinations:
    Vaccination certificate, specific medical tests…
     
  • Financial letter:
    A document issued by your bank confirming that you have sufficient funds to support your mobility period abroad.

 

1. Identify your courses at the host university

Visit the website of the host university and identify the courses that are compatible with your study plan, in accordance with the agreement under which you have been selected.

 

2. Request approval of your exams

Consult your Faculty regulations and follow the procedure to request approval of the exams you intend to take abroad.

 

3. Complete the Online Learning Agreement (OLA)

Complete the Online Learning Agreement (OLA), the document outlining the study activities you will carry out abroad and the corresponding Cattolica exams.

Follow the OLA completion guidelines.

 

4. Complete the procedures on the International Mobility Portal
  • Travel details section: Enter the required information.
  • Scholarship section: Provide your bank details.
  • Documents section:
    • Subscribe to the Student Safety Package and download the Student Safety Check app;
    • Upload your ISEEU certificate or self-declaration (optional);
    • Upload the Special Needs documentation (optional);
  • Complete the Erasmus contract

Upon arrival, download the Certificate of Study Period – Part A, have it signed, and upload it to the “Documents” section of the International Mobility Portal.

Check your institutional email account regularly to ensure you do not miss any important communications from Università Cattolica.

Comply with all procedures and deadlines, and promptly inform Cattolica International of any issues or changes concerning your mobility period.

If you wish to extend your mobility period, you must complete the following steps at least one month before the end date indicated in your financial contract:

 

1. Inform the International Office

Inform the Cattolica International Office at your campus of your intention to extend your mobility period.

 

2. Obtain acceptance from the host university

Request written confirmation from the host university (an email is sufficient) that:

  • confirms your acceptance for the second semester as an Erasmus student;
  • specifies that the extension will not be counted towards the balance between the two universities.

 

3. Submit the documentation and await confirmation

Forward the acceptance letter/email issued by the host university to our Office and wait for confirmation that the extension can be authorised.

 

4. Request academic approval

Contact the academic coordinators of your Faculty (by email or via the Programme Plan, according to the established procedures) to obtain approval of the second-semester exams.

 

5. Update the Online Learning Agreement

Update your OLA with the activities you intend to carry out during the extension period.

 

6. Pay the Student Safety Package

Pay the Student Safety Package for the second semester via the International Mobility Portal.

 

1. Certificate of Study Period – Part B

Complete the Certificate of Study Period – Part B, have it signed by the Erasmus Office at your host university, and upload it to the “Documents” section of the International Mobility Portal.

The departure confirmation must indicate the actual date on which your academic activities at the host university ended.

 

2. Transcript of Records (ToR)

You will receive the Transcript of Records (ToR), i.e. the official record of the exams taken at the host university. It may be sent either to you or directly to Cattolica International.

If you receive it, forward the email (including both the message and the attachment received from the host university) to the International Office at your campus (see contacts).

Please note: the ToR is generally issued approximately one month after the end of the examination session at the host university.

 

3. Registration of your exams

Complete the procedure for the registration of your grades via the Programme Plan.

 

4. Make the most of your international experience

Take part in the workshop “Welcome Back: Unpack your Experience” and become Ambassador:

After the nomination, visit the website of your host university and check:

  • the application procedure for Exchange Incoming students;
  • the relevant deadlines;
  • the required documentation.

It is your responsibility to prepare and submit all documentation in accordance with the procedures and deadlines set by the host university. The host institution may reject your application if your documentation is incomplete or submitted after the deadline.

If signatures, stamps or documents are required from our side, please contact the International Office at your campus promptly.

 

3. Confirm completion of your application
