Monday 16 March - Extraordinary provisions concerning exam panels and graduation session panels related to the final examination

The extension of the suspension of frontal teaching activities decided by the Council of Ministers in order to control the spread of COVID-19 coronavirus infection requires extraordinary measures to be taken so that course exams and final exams can be carried out on a regular basis.

Here are the latest important updates.

Exams concerning final examinations

By way of derogation from the provisions of art. 7 of the teaching regulations of the University, until the end of the emergency period, the Panels for the examinations related to the final exams of the undergraduate and master's degree programmes consist of at least 3 members, of which at least 2 are official professors of teachings given in the Faculty. The above-mentioned members of the Final Examination Panels may be present in a classroom of the University, suitably spaced according to the provisions in force issued by the Authorities, or connected remotely.

The procedures for carrying out the exams related to the final test of the undergraduate and graduate programmes are as follows:

  1. the deadline for the delivery of the final paper, which will be uploaded in digital format on the Blackboard platform, is postponed as much as possible and in any case no more than 7 days before the exam.   2. until 3 April, and in any case until the end of the emergency period, graduation sessions will be held as follows:
    a) exams with dissertation: the members of the Final Examination Panel operate in a classroom of the University, suitably spaced according to the provisions in force issued by the Authorities, or in remote connection; the participation of the graduating student is foreseen exclusively in remote connection through the "Microsoft Teams" platform; the result of the exam will be immediately uploaded in the career page (the student will be fully graduated); the proclamation celebration will take place at a later date which will be defined as soon as possible;
    b) exams without dissertation: the Final Examination Panel meets in the presence or in remote connection and defines the scores assigned to all candidates; the result of the exam will be immediately uploaded in the career area (at this point the student is fully graduated); the graduation party will take place at a later time that will be defined as soon as possible;
  3. The rescheduled sessions will be considered part of the extraordinary session of the academic year 2018/19 until 30 June, 2020.

For the purposes of the regular conduct of the final exams with discussion, the Microsoft Teams platform must be used according to the following procedure:

  1. the members of the Final Examination Panel, composed by at least 3 professors, connect to the Teams platform using the link provided;
  2. one of the members extends the link to the graduate and invites him/her to participate in the exam, according to the rules established by the Chair of the Examination Panel (e.g. according to the convocation time);
  3. ask the student to activate the audio/video connection and verify the identity of the graduate through the video display of the identification document;
  4. ask the student to keep his or her eyes on the screen (in order to avoid the consultation of material that is not allowed for this examination, unless contemplated by the Panel). It is also recommended to carefully monitor the student's behaviour during the discussion. The student may submit slides, sending the content to the Panel in advance by email;
  5. at the end of the interview, the Panel  will consult with the student in order to determine the grade; it is advisable to pause the connection with the student or, if the panel is present in a classroom, to disable the audio of the connection by moving away from the webcam;
  6. the Chair of the Panel reactivates the audio/video connection and proclaims the candidate's degree according to the usual formula;
  7. proceed with the next candidate (from point 2).


Exams

Panels will be organised in accordance with the provisions of art. 6 of the University's teaching regulations; the members will operate in a classroom of the University, adequately spaced according to the provisions in force issued by the Authorities, or via a remote connection.

The procedures to be adopted for the conduct of the exams are as follows:

  1. the exams scheduled by 3 April, 2020, and in any case until the end of the emergency period:
    - they will be held orally and remotely; the postponed tests are in any case considered within the same activation session (extraordinary session of the academic year 2018/19 or early summer session of the academic year 2019/20);
    - the Faculties will evaluate, where possible, to reschedule written exams in order to allow them to be held remotely orally. If this is not possible, the exam will be postponed until a date to be set;
    - Exceptions are the written exams for graduating students, for which each professor will communicate an alternative method of evaluation;
  2. until the date of 3 April, and in any case until the end of the emergency period, the remote exams will be held in the following manner:
    - priority must be given to undergraduates enrolled in the final exams of the extraordinary session;
    - the members of the Examination Panel will be present in a classroom of the University, adequately spaced according to the provisions in force issued by the Authorities, or in remote connection;

The following procedure must be followed for the use of the Microsoft Teams platform:

  1. the members of the Examination Panel, composed of at least n. 2 professors, connect to the Teams platform using the link provided;
  2. invite the students to participate in the exam, according to the rules established by the Chair of the Examination Panel (e.g. according to the time of convocation in case of staggering and, if necessary, activating subcommittees);
  3. proceed with the call of the candidates summoned at the pre-established time in order to verify the students actually present, then proceed with the call of the students to carry out the test according to the order deemed appropriate. It is advisable to suggest to the other connected students to temporarily turn off the video and, above all, audio connection so as not to disturb the examineeconcerned;
  4. verify the identity of the candidate to be examined by viewing both the identification document and the digital photo of the student present in the system (new SVE function);
  5. ask the student to activate the audio/video connection and to keep his or her eyes on the screen (in order to avoid the consultation of material not allowed for the exam, unless accepted by the Panel). It will also be recommended to carefully monitor the behaviour of the examinee; for the correct outcome of the exam, it will be asked in particular to assess whether this indicates distraction from the monitor or excessive uncertainty or slowness in giving answers;
  6. the mark will be uploaded to SVE using the deferred registration mode;
  7. the student will be notified that the mark has been uploaded to iCatt;
  8. proceed with the next candidate (from point 4).

IMPORTANT: it is again recommended to all students enrolled in the calls that, if they are unable to participate in the exam session, for organisational reasons and for fairness towards the committees and students present, they must cancel their registration at least 2 days prior to the exam date.

Dear Students,
This extended suspension of frontal teaching activities, which has been ordered by the Italian Council of Ministers to counter the spread of Coronavirus COVID-19 infection, calls on us to take measures to ensure the continuity of your course of study and, as far as possible, the continuity of the academic year.

Following the latest important updates.

The exam calls that were not carried out in February and the extraordinary ones of March have been rescheduled from 23 March to the end of April.
Students who had already registered for an exam call will automatically be enrolled and will be able to take the exam on the date scheduled for new calls.
Students who have not registered for an exam call will be able to register.
If the exam is an oral exam, it will be taken by remote. If the exam is written it will be carried out for graduating students in an alternative way established by each professor.
A new date will be set for the remaining students.
The exam calls for quarter courses (under graduate programmes) will be postponed to the summer session with th exception of calls with graduating students.

The exams will be held by remote through the Microsoft’s “Teams” platform. The assessment of students’ learning outcomes will always be individual and must take place in conditions that can guarante an accurate, objective and fair assessment in relation to the subject or to the expected competence to be achieved.

The Examination Panel, whose members will be present in the examination room or connected by remote, will be made up of at least two members:

  • the Professor responsible for the subject, who will act as Chair and who will be responsible for signing the telematic report;
  • another professor, researcher or expert in the field.

How will the exam session be conducted in remote mode?
Students registered for an exam call will be summoned at the pre-established time and according to the rules established by the Chair of the Examination Panel. Candidates’ attendance will be verified, after which the student will be called to start the exam.

Further information/notes for candidates:

  • candidate identity will be verified by means of a valid ID document and digital photo.
  • you will be asked to activated the audio/video connection and keep your eyes on the screen.


During the test, the other candidates will be asked to temporarily turn off the video and audio connection so as not to disturb the examination.

Exam results will be communicated immediately and the student will be notified that the grade has been uploaded to iCatt.

If you are unable to attend the exam session, you are required to cancel your registration at least 2 days before the the start of the exam itself.
